Meeting minutes - sep 17, 2007

CAN Organizational Meeting

Monday, September 17, 2007 - 7:30-8:45PM

Executive Committee members present: Kevin Folk, Greg Merritt, Chris Maurer, Elaine Freedman, Bekah Meyerowitz

Schools represented: Cornell, Tennessee, Baylor, UMD, Ohio State, AZ State, Texas Tech, Florida State, UPenn, American, Elon, U Hartford, PSU, Wisconsin, Providence, Xavier, WVU, UGA, ICAF, GMU, U Miami, Stanford, Miami U (Ohio), Carnegie Mellon, South Carolina, Cal Berkeley

I. Next meeting date

Monday, October 1, 2007

II. PR Update

· Website registration is open for individuals

· Continually updating game watching locations. Please email from the website with any updates – for now. In the future, chapter will be able to do this themselves.

III. Community Service Update

· Community Service Chair is open. If you are interested, please contact Lamont Rooker

· CAN is encouraging constituents to take part in the Fannie Mae Help the Homeless Walkathon on November 17. Individuals should choose the agency they wish to benefit and start a CAN team. We will plan a meeting place and time so all CAN participants can walk together regardless of the agency they choose to support

· Possible upcoming events:

o Day of service with the National Park Service

o Volunteering at the Marine Corp Marathon

IV. Social Update

· CAN night with the Nationals taking place on Thursday, September 20. Information is on the website to sign up and save 30%

· Mid-season football party on October 26 at CCSP

· End of season football party on January 26 at CCSP

V. Sports Update

· Flag football season is underway after the kick-off last weekend. See website for schedules and standings

· Information for Volleyball and Basketball seasons will be on the website by November

· The first CAN gold tournament was quite successful with Cal-Berkeley taking top spot. The exact amount of money awarded to the top three teams’ scholarship funds is still being determined.

VI. Guest Speakers

· Matt Winkler from the Capitals

o October 6 is Caps on Tap Bar Tour

o October 26 is CAN night with the Capitals including a pre-game happy hour and special rates

o Ongoing discounted group rates

o He generously passed out 100 tickets and gave a signed stick to the person with the correct answer to a trivia question

· Pete Leibman from the Wizards

o November 3 is CAN night with the Wizards with 50% discounted tickets

o Access to a chart of when specific players and their teams will play the Wizards so you can see your own school graduates

o Ongoing discounted group rates

VII. Membership

· In January 2007, the new Executive Committee determined that due to growth of the organization, it was necessary to start charging membership fees. The Committee then consulted the Presidential Advisory Committee (PAC) to gain opinions as to how the fees should be implemented

· After much discussion with the PAC and amongst the Executive Committee, it was decided that from September 13 through December 31, 2007, individual registration would be required of all participants FREE OF CHARGE on the website

· Come January 1, 2008, fees will then be implemented for the calendar year. They break down as follows:

o $200 Chapter fee

This covers all local alumni of a chapter (“alumni of a chapter” is defined as an individual who took a minimum of 12 credits at the school) and spouses with no additional fees to those individuals. PLEASE NOTE: payment of chapter fees does not guarantee admittance into sports leagues

o $50 Associate Chapter fee

This is for those alumni chapters that would like to simply have their contact information posted on the CAN website with no additional benefits for the chapter or its members

o $25 Individual fee

For those individuals who are alumni of a non-member chapter

· Points/questions raised:

o Budget/financials need to be made public for chapters to gain approval from alumni headquarters

o Will the membership fee entitle chapters/individuals to voting rights?

o Is there/will there be insurance to indemnify chapters? Will chapter Board members be sheltered?

o Is the plan to have a $0 sum budget such that all the money received in one year is out by the end of the year?

o Why is CAN not eligible for 501C3 status?

o Will there be an official legal contract between the chapters and CAN?

o Privacy policy needs to be made public on the website

o Requirements of chapters and individuals need to be made clear

o The by-laws will need to be re-written to reflect these changes. Will the constituents be involved in that process?

o Will regular audits be done and made public?

o Policies need to be included detailing how communication will occur with organizational changes

· Follow-up will be done regarding as many of the points and questions raised as possible before the October 1 meeting
